What Collaboration Links Are

Collaboration Links let you share an iManage document with someone outside your firm — opposing counsel, a client, a co-counsel firm — without emailing an attachment. Instead of sending a copy of the file, you send a secure link that points back to the live document in iManage, under permissions you control.

Why That Matters More Than Email

An emailed attachment is a copy the moment it leaves your outbox: you lose control over who forwards it, how long it exists, and whether it reflects the current version. A Collaboration Link stays connected to the original document, so you can update permissions, set an expiration, or revoke access entirely — even after the link has been sent.

How to Create a Collaboration Link

From the document’s context menu in iManage Work, select Share or Create Collaboration Link. From there you can set:

Permission level — view-only or edit access
Expiration date — the link stops working automatically after a set date
Password protection — an extra layer for sensitive matters

Once created, copy the link into an email, message, or client portal — the recipient doesn’t need an iManage account to open it.

Revoking or Managing Active Links

Every Collaboration Link you’ve created is listed under the document’s sharing details, where you can revoke access at any time. This is worth checking periodically on long-running matters, where links created early on can be easy to forget about.

Setting Firm-Wide Guardrails

Individual attorneys creating links ad hoc is fine for occasional use, but firms handling sensitive or regulated matters should have clear policies: default expiration windows, when password protection is required, and who can create links with edit access versus view-only. These are admin-level settings worth reviewing with whoever manages your iManage environment.
