How to Version Up a Document in iManage Work

What “Versioning Up” Means in iManage

In iManage Work, every document keeps a full history of its versions. When you make a change and want it recorded as an official new version — rather than just an autosave of your working copy — you “version up” the document. This gives the document a new version number, preserves the prior version exactly as it was, and lets anyone with access see who changed what, and when.

Versioning Up from the Desktop Client

Open the document from iManage Work as you normally would. When you save your changes in the source application (Word, Excel, PowerPoint), iManage prompts you to either save to the current version or create a new version. Choosing “Version Up” (sometimes shown as “Save As New Version”) assigns the next sequential version number and locks in the version you were just working on as final.

From the web client, open the document, use the “…” (more actions) menu, and select Version Up. You can add an optional comment describing what changed — a habit worth building firm-wide, since it turns the version history into a readable audit trail instead of a list of timestamps.

Viewing and Restoring Prior Versions

Every document’s version history is available from its properties panel. You can open, compare, or restore any prior version without losing the current one — restoring simply creates a new version that matches the old content, so nothing is overwritten or lost.

When Should Firms Version Up?

A good rule of thumb: version up at natural milestones — after internal review, before sending a document externally, or after a client’s comments are incorporated — rather than after every keystroke. Too many minor versions makes the history harder to read; too few makes it hard to see how a document evolved.

Inconsistent versioning habits are one of the most common sources of confusion in a law firm’s document management system. MacroAgility provides iManage training that covers version control alongside the rest of iManage Work, so your whole staff follows the same process.
